How-to guide

Using your AI assistant console

A short walk through each tab of your console, in the order you see them. Every button name below matches what is on your screen.

Overview

The Overview tab is the first thing you see after you sign in. It shows how your AI assistant is doing this month.

Example: Overview tiles

Messages this month

12

Conversations this month

Leads captured this month

12

Messages this month
How many replies your assistant has sent this calendar month, out of your monthly allowance. The bar and percent show how much is used.
Conversations this month
How many separate chats visitors started this month.
Leads captured this month
How many visitors left their contact details this month.
Up or down on last month
Under each tile, a line compares this month so far with last month.
Messages per day, last 30 days
A bar chart of daily activity. The dates under the chart show the range it covers.

Install status

Below the chart is a status line. Widget live means messages arrived in the last 7 days. Not detected on your site means none have. Check that the install snippet is still on your site, just before the closing body tag. A quiet week on a small site can also show this.

AI Voice

If your account does not include AI Voice, you see one line: "AI Voice: answer your calls 24/7 with an AI receptionist." The Request info link opens an email to ask about it. If AI Voice is on, you see your voice card here instead.

Install snippet

The bottom of Overview holds your install snippet and your allowed domains. Both are explained under Install snippet and allowed domains.

Conversations

Every chat your assistant has handled is listed here, newest first. Each row shows the visitor's first message, the number of messages, the outcome (for example Lead or Answered) and the date.

Finding a conversation

The list shows your most recent conversations. Turn on Show archived to include ones you archived. To find a specific chat, type in the Search conversations box. It searches the words in every message, from the visitor and the assistant, plus the name, email and phone of any lead captured in that chat. It works together with Show archived, so turn that on to search archived chats too.

Opening a transcript

  1. Click the first message of any row.
  2. The full transcript opens, with every message in order.
  3. Use the buttons at the top to download, archive or delete it.

Archive or delete

Archive hides a conversation from the list but keeps it. You can bring it back with Unarchive. Delete conversation is permanent: the conversation and its messages are removed and cannot be recovered. Any lead captured from it is kept on the Leads tab.

Downloading

On a transcript, click Download to save it as a text file. To download many at once, pick a From and To date at the top of the Conversations tab and click Export chats (or Export phone calls if you use AI Voice). The file opens in Excel or Google Sheets.

How long transcripts are kept

Transcripts are deleted automatically after your account's retention period, 30 days unless your account says otherwise. The exact number is shown at the top of the tab and under Settings. Download anything you want to keep.

Leads

When a visitor asks a real question, your assistant asks once for their name and email so your team can follow up, and mentions that a phone number is optional. Giving details is always the visitor's choice, and the assistant keeps helping either way. When someone shares them, a lead appears here.

What is in each lead

Name, Email, Phone
What the visitor shared. Anything they skipped shows as Not given.
Message
A short summary of what they wanted.
Conversation
Click View chat to read the full transcript.
Date
When the lead was captured.

Use Search leads to filter by name, email or message.

Lead emails

Each new lead is emailed to the addresses in Send new leads to on the Settings tab.

Exporting

In the Export panel, choose a date range (the last 90 days by default) and click Download leads CSV.

Questions to answer

This tab lists questions visitors asked that your assistant could not answer. A number next to the tab name shows how many are waiting.

  1. Open the Questions to answer tab.
  2. Read the question. Click through to the chat if you want the full context.
  3. Type into Write the answer your assistant should give.
  4. Click Save answer. Your assistant uses it from the next message.

Click Dismiss for questions that do not need an answer, such as spam or off topic messages. Saved answers appear under Corrections on the Knowledge tab.

Updating the knowledge base

The Knowledge tab opens What your assistant knows. This is everything your assistant answers from, in three sections.

Things you taught it
Entries you added yourself. You can edit or delete these.
Website pages
Imported from your website.
Corrections
Answers you saved on the Questions to answer tab.

Teach it something new

Use this for anything new: a service, a price, holiday hours, a promotion, a location or a common question.

  1. Click Teach it something new.
  2. Fill in Topic, a short title.
  3. Fill in The information, in plain words, written the way you would tell a new employee.
  4. For temporary info, pick a Show this until (optional) date. Your assistant stops using it after that day and the entry is marked "Expired, no longer used".
  5. Add a Link (optional) if visitors should go to a page for more.
  6. Click Save.

Changes take effect from the next message. Use Edit or Delete on any entry under Things you taught it.

Three examples of good entries

Example: New service

We now inspect roofs by drone. Starts at $150 for a single family home. Book through our contact page or call the office.

Example: Holiday hours, with Show this until

Holiday hours

We are closed December 24 and 25 and open 9am to 1pm on December 26. Normal hours return December 27.

Show this until: December 26

Example: Common question

FAQ: do you serve the north side

Yes. We cover the whole metro area, including the north side, with no travel fee within 25 miles.

Suggest a correction

If something your assistant says is wrong but you are not sure how to fix it, scroll to Suggest a correction, describe the problem and click Send correction. The team will update it for you.

Size limit

Your account has a knowledge size limit. If a new entry would go over it, saving is refused with a message. Keep entries short and to the point, or delete old ones you no longer need.

Settings

Make your changes, then click Save settings at the bottom of the page. Your widget updates within a minute. Some panels, noted below, save on their own.

Transcript retention, Plan and Billing

These show your retention days, plan, message allowance and billing status. If you pay by card, Manage billing lets you update your card, download invoices, change plans or cancel.

Install snippet and allowed domains

The install snippet is on the Overview tab.

  1. Choose Floating button for a chat button on every page, or Inline on a page for a chat built into one page.
  2. Click Copy snippet.
  3. Paste it into your site, just before the closing body tag for the floating button, or where the chat should appear for inline.

Below the snippet is your list of Allowed domains. The chat only works on these sites and their subdomains. If the chat was used on a site not on the list, you see "The chat was blocked on (that site) because it isn't on your allowed domains". If that site is yours, click Allow this domain.
